Department of Main Roads

The Engineering and Technology (E&T) branch of Main Roads provides engineering and technical services to other branches within Main Roads and to external entities. With over 400 staff members, E&T was seeking standardisation and optimisation of its business processes in preparation of its future, whole of Government SAP implementation. PRIME PMG was engaged to manage its business processes, to address the following:

  • Document and transfer ageing or exiting knowledge
  • Better understanding of roles and accountabilities
  • Efficient utilisation of resources
  • Standard work practices, systems and guidelines across the organisation
  • Effective change management for further initiatives
  • Ability to set up KPI and thresholds for performance measurements
  • Effective staff induction and training activities

GRM International

GRM is a leading international development management company specialising in the implementation of aid projects in third world countries. GRM has 10 offices worldwide. As the business was utilising a large amount of time resources and concentrating on servicing its clients during exponential growth, mostly all offices operated under varying business processes and IT applications. PRIME PMG engagement standardised and optimised GRM’s business processes globally. In addition, the new business process frameworks were designed to support the realisation of its strategic visions. This enabled GRM International to better align business process accountabilities to individuals – allowing Key Performance Indexes development. PRIME PMG enabled GRM International to have transparency of its global organisation, providing the appropriate tools for senior management to make effective decisions on new systems and procedures.

BMA Laboratory

The BMA Laboratory at Gladstone provides technical support and coal testing services to the BHP Billiton group. Management at the laboratory identified that its business processes were not optimised and it had a desire to:

  • Improve overall service quality
  • Reduce business process cost and time
  • Increase business process efficiency
  • Improve human resource planning

BMA chose to engage PRIME PMG to assist in achieving its goal. A number of visits were made to the laboratory and as a result PRIME PMG provided a professional, independent recommendation as to which software solution would meet the goals of the organisation. In addition, laboratory staff could visualise how its business processes would be executed, prior to the implementation of the new software. This provided the following benefits:

  • The entire organisation was able to understand the change in business processes prior to implementing the solution – a cost free way to ensure that there is internal support for the system, prior to rollout
  • The ability to calculate the reduction in paper usage and the number of tasks executed – these figures are used for investment justification - in the case of Barney Point Laboratory, tasks have reduced by more than 50%
  • The current state and future state process models were a valuable tool to assist in change management and training once the system was implemented.

Freedom Fuels

Freedom Fuels was experiencing tremendous business growth, however its current business processes did not support this growth. This resulted in inefficient work practices and a lack of control in the organisation. It was quickly recognised that to regain control, a number of business strategies would need to be formulated. A change of strategy required a change in business processes. Freedom Fuels engaged PRIME PMG to review its existing business processes, to understand how the business operated currently, and to seek advice how its business processes should be executed in the future to meet its strategic goals. PRIME PMG also reviewed its information system infrastructure and applications to ensure that it could support its strategic goals. Some of the benefits realised by Freedom Fuels were:

  • Strategic direction based on facts
  • Business process standardisation across different business units
  • Identification of IT application requirements
"As a fast growing privately owned entrepreneurial business it is very easy to get caught up in the day to day drive to complete the next task. Through our multiple engagements with Prime PMG to explore our business processes over the past 2 years Freedom Fuels has learnt that the problem with doing this is that we may not be laying the most stable foundations for our business, our people or our customers for the long term. We have found Prime PMG to be a highly skilled and professional Business Process improvement partner who are collaborative, hands on, driven to understand our business and the solution we need and are results oriented. While we're still on the journey, through our engagement of Prime PMG we are now much better equipped with the knowledge and the tools to better manage our business."

Queensland Cancer Fund

The Queensland Cancer Fund chose to automate its Customer Relationship Management processes. To effectively undertake this initiative, PRIME PMG was engaged to undertake a gap analysis between its current manual business processes and its future automated processes. The gap analysis provided:

  • Transparency to identify impacted areas of the business
  • Clarity around training needs for fruitful transition
  • An excellent communication tool to inform the wider audience on how individuals will be affected
  • An ability to demonstrate the reduction in processing cost and time once the system was implemented
