1) Process Scoping: This includes the development of the Business Process Framework. The Business Process Framework will indicate the types of functions and associated business processes that currently exist in the organisation. It also enables consultants to isolate the processes that require urgent attention and highlight the processes that have a direct association with the organisations’ bottom line. The Business Process Framework forms the foundation of the process review.

2) Process Review: A process review is conducted to capture how processes are currently being executed. It is the starting point for improvement. There are a number of reasons why the current state must be captured first:

  • The process may not need improvement, but interfaces to other business processes that need to be identified.
  • Transparency of the process, for communication purposes and better decision making.
  • To gain an understanding of the pain points/bottlenecks associated with the process.
  • It allows a gap analysis to be undertaken between the current state and future state, to aid in change management.

Using our proprietary Process Improvement Checklist, existing processes will be optimised. This is a highly consultative phase as it is important that the newly developed processes are practical and supported by members of the organisation. Optimisation can occur in many ways, such as:

  • Merging two or more processes
  • Replacement of a process
  • Reassigning a business process or task/s to another role

3) Process Improvement: This is the phase where the organization will start seeing the results. Based on the future state business process models and the identified improvements, the future state process reports are developed, which detail how the new business processes are executed.

4) Process Implementation: Based on our proven process implementation plan, the improved business processes are implemented across the organisation. Our consultants are experienced change agents and ensure that the implementation phase is smooth, by utilising effective change management and training techniques.

5) Process Monitoring: - After process implementation, process adherence needs to be monitored. During this phase, the process measurement baseline (set in the earlier phases) is referred to and measured against. If a concerning variance exists, the consultant investigates the reasons for non adherence. As a result, minor process changes may need to be made, or an extended period of change management may need to be undertaken.
